Before automating, many of Clarity’s processes were done by hand. After every visit, Kyle had to copy the transcript from Healthie into the clinician dashboard to create the member’s AI care plan, so care plans depended on him. Appointments and member information were also synced manually, and so was tracking each Clarity Gut Panel, from shipping to arrival to test results.

On top of that, with limits in HubSpot, the team had to update discovery call details and send email and SMS reminders one by one. All of this added up to hours of admin every week.

Above all, they needed to sync data across their tools in a HIPAA-compliant way, so they could scale safely.

The Solution

A Secure Link Between Every Tool

Keragon sits between Healthie and Clarity’s clinician dashboard. When a visit is booked in Healthie, a record is created on the dashboard, tagged by visit type, member and provider ID, and it stays in sync if anything changes. New members are added automatically when they purchase, and their medications and allergies stay up to date.

The transcript workflow made the biggest difference. As soon as a visit transcript is ready, Keragon sends it over and triggers the AI care plan. Ops no longer creates care plans by hand, and clinicians no longer wait on Ops. This is huge for the team, as care plans are delivered faster than ever.

For the Clarity Gut Panel, Keragon connects Tiny Health with HubSpot and the dashboard. Every kit update moves a HubSpot ticket forward and sends the member an email, so no one has to monitor kits manually. Keragon also connects HubSpot to Curve Compliance, so tracking events are passed on securely.
