What is medical records management automation?

Medical records management automation is software that runs the record work between your systems: it matches incoming forms, faxes and outside records to the right patient, files documents to the chart, updates approved fields through your EHR’s official APIs, keeps the surrounding systems in sync, and routes anything uncertain to a person. Keragon does this across the systems you already use, with 300+ HIPAA-compliant integrations, and your EHR stays the system of record.

Does Keragon replace my EHR or become the medical record?

No. Your EHR stays the system of record and the legal chart. Keragon is the automation layer that runs across your systems: it is not an EHR, not a health information exchange, and never the designated record set. It reads and writes through each system’s official API, only to the fields you approve, and every action is logged. Tools like athenahealth, Documo and Metriport are integrations we work with, not products we replace.

Can Keragon update any field in my EHR?

No, and that honesty matters. Available actions vary by EHR, plan and configuration: athenahealth exposes deep document, custom-field and insurance operations; eClinicalWorks supports clinical notes and C-CDA documents; Epic today supports patient lookup, creation and appointments rather than broad chart writes. Where a write is supported, Keragon uses it; where it is not, the data routes to your team instead.

How does Keragon avoid updating the wrong patient’s chart?

Workflows match on the identifiers you approve and validate the data before anything is written. When a match is not confident, the workflow is instructed to stop and route the record to your team with everything it found, instead of guessing. Keragon never auto-merges patient records, and merge decisions stay with people.

Can it file incoming faxes and documents automatically?

Yes. Faxes arrive through tools like Documo and HumbleFax, get classified with OCR assistance where you enable it, and are filed to the right patient’s chart in EHRs that support document upload, with the source preserved. You choose which document types file automatically and which always wait for a person’s review.

Can Keragon retrieve outside records?

Where your practice has access to retrieval tools like Metriport or Health Gorilla, Keragon can trigger a query, monitor completion, and route what comes back. What is available depends on the source networks and on patient matching, and retrieval is not the same as incorporation: outside records go to your team for review before anything lands in your chart.

Does Keragon help with an EHR migration?

Yes, in a bounded way. Keragon can coordinate supported exports and imports, validate what actually transferred, and route the gaps: the migrations that hurt are the ones where only demographics survive and nobody notices until the visit. It is not a migration service and not an archive, so full-history conversion and legal record custody stay with your migration vendor and your EHRs.

Is Keragon HIPAA-compliant, and do we get a BAA?

Yes. Keragon is HIPAA-compliant and SOC 2 Type II audited, data is encrypted in transit and at rest, and a BAA is included on every paid plan, which general-purpose tools like Zapier do not offer. A BAA alone does not make a workflow compliant, so you control which fields move, where they go, and what needs approval, and every action is written to an audit log your team can review.

What happens when a workflow isn’t sure?

It stops. The record lands in an exception queue with what the workflow found, why it stopped, and an owner, instead of being forced into the chart. Failed updates are retried where safe and escalated when they are not, and every step is in the audit log your team can review.

Where does patient data go, and who can see it?
